PURPOSE: To provide an organized golf program for the enjoyment of the women members of the Sandy Run Country Club. This includes review of rules and regulations for golf, coordination of the program for the golf season, determination and review of tournament procedures, and resolution of problems encountered during the golf season
MEMBERSHIP: The SRCC Women’s Golfing dues will be determined by the current SRCC Women’s Golf Board. Dues shall be paid in full by opening day (first day in April).
EXECUTIVE BOARD: The members of the Executive Board are:Golf Chair, Vice/Trophy Chair, Past Chair, Treasurer, and two appointed officers from the Women’s Golf Board. Executive Board meets to advise and determine all final solutions to submitted problems and questions when a full board meeting is not available.
OFFICERS: Chair, Vice/Trophy Chair, Past Chair, Secretary, Treasurer, Handicap Chair, House Chair, Communication/Publicity Chair, Scheduling Chair, Team Coordinator, Tuesday Chair, Weekend Chair, Ringer Chair.
TERM OF OFFICE; THREE YEARS FOR ALL POSITIONS
Any new members of the Golf Board shall take office following the November Golf Awards Banquet and shall each serve a term of three years. In the event the Chair is not able to fulfill duties; the Vice/Trophy Chair moves into Chair position and completes the remainder of the term. Her responsibility will be to appoint a new Vice/Trophy Chair. If for any reason the Vice/Trophy Chair is not able to fulfill the Chair position, the responsibility of selecting said position shall be decided by the Executive Board. In the event any other member of the board is not able to fulfill duties, the board will be responsible for publicizing to all members an opening on the board and managing each transition.
QUALIFICATION FOR APPOINTMENT:She must have full golf privileges and be a member of Women’s Golf. Experience and/or a willingness to serve are the criteria when identifying a candidate for a Board position.
REPORTS: All tournament chairpersons must send written summary reports to the Chairwoman, no later than one week prior to the closing dinner.
POLICY: Any money event involving women golfers is under the auspices of the SRCC Women’s Golf Committee. In the event of excess funds, the monies are to be turned over to the Women’s Treasurer. The financial accounting should be summarized within three weeks of each tournament.
PROCEDURE FOR PROTEST:Any stated tournament protest must be made to the Vice/Trophy Chair or Executive Board Member on the day of event/match in question. If not resolved a written protest will be sent to the Executive Board for review.
DUTIES OF WOMEN’S GOLF CHAIR:
Calls and presides over the Women’s Golf Board and all golf meetings.
Oversees all golf committees.
Receives and coordinates all correspondence.
Organizes transition of Golf Board positions.
Represents the Women’s Golf Organization in the WGAP.
Is the liaison with the Board of Governors and the Men’s Golf Chairman
Notifies the Men’s Golf Chairman, the Pro Shop, and the Club Manager of all tournaments and schedules.
Organizes the Opening Golf Dinner and the Christmas Luncheon.
VICE/TROPHY CHAIR
Obtains chairperson for special tournaments.
Checks and updates Tournament Record Books.
Coordinates volunteers for special tournaments (Member Guest, Derby, Doe Day)
Includes the following in the Tournament Record Books: Chairperson, Responsibilities, budgeted amount with prize money breakdown (if applicable), volunteer names, tournament expense form, and tournament critique form.
Organizes and runs Trophy Tournaments.
PAST CHAIR
Assists the Golf Chair.
Updates the Rules & Regulations document and duplicates it for distribution.
Arranges for the maintenance and engraving of all trophies and plaques.
Runs the Awards Banquet and produces a tournament winner document.
SECRETARY
Records minutes of all Golf Board meetings.
Records correspondence of the Board.
TREASURER
Presents a recommended annual Budget to the Golf Board for approval.
Updates/maintains list of members including general membership, locker room and money club throughout the year.
Pays bills associated with Women’s Golf. This includes keeping a record of expenses and receipts of disbursements of funds.
Reviews tournament expense reports throughout the season.
Maintains the financial books and the bank account(s).
Prepares monetary awards for presentation at the Golf Banquet.
Prepares financial report(s) for the Golf Board, the general membership and for the club income tax report.
Prepares budget for next golf season.
HANDICAP CHAIR
Is the liaison with the Golf Association of Philadelphia for women’s handicaps.
Reviews/monitors posting of scores.
Supplies copies of the most recent Official Handicap Reports to Golf Chairs.
Determines the Most Improved Player and runner up for the 18 hole and 9 hole Money Club groups.
HOUSE CHAIR
Responsible for the maintenance of the locker room and oversees the fourth hole ladies bathroom.
Assigns lockers and issues keys.
COMMUNICATION/PUBLICITY/IT
Emails golfing news and/or information to all women members and SRCC staff.
Manages Sandy Run Women’s Golf Webpage.
Manages SignUpGenius website.
With the help of the Golf Board, sets up the golf schedule for the year.
Organizes and arranges distribution of the Golf Schedule Books.
TEAM COORDINATOR
Is the liaison with the WGAP for team matches.
Establishes a team player list, selects Team Captains.
Obtains home team match day hostesses.
Meets with Club Manager to arrange for morning coffee and team lunches and meets with Club Pro to discuss Team Match details.
Attends the WGAP Captains Meeting.
TUESDAY 18 HOLER CHAIR
Arranges for sign-up for all Tuesday tournaments.
Gives the sign-up sheet to the Pro Shop when necessary.
Determines the winners of each tournament; posts results and gives to Communication Chair.
Records the dollar amount won by the weekly winners.
Calculates the total season winnings for players, requests funds from the Treasurer, and distributes the prize money at the Awards Banquet.
WEEKEND CHAIR
Arranges for sign-up for all Weekender tournaments.
Gives the sign-up sheet to the Pro Shop when necessary.
Determines the winners of each tournament; posts results and gives to Communication Chair.
Records the dollar amount won by the weekly winners.
Calculates the total season winnings for players, requests funds from the Treasurer, and distributes the prize money at the Awards Banquet.
RINGER CHAIR
Prepares Ringer Cards and slips, verify money club members.
Updates ringer’s spreadsheet weekly and posts in locker room. Give sheet to Communications Chair for publishing on website.
Periodically audit ringer slips to confirm play date and posting of score.
At end of season determine gross and net winners of each flight,
Requests funds from the Treasurer, and distributes the prize money at the Awards Banquet. NINE HOLER CHAIR
Organizes all Nine Hole tournaments.
Makes the weekly pairings based on available players.
Determines the winners of each tournament and posts results.
Calculates the total season winnings for players, requests funds from the Treasurer, and distributes the prize money at the Awards Banquet.
